The EA to the Director of Infrastructure Services supports the Director by interacting with internal and external stakeholders on their behalf, conducting financial analysis, coordinating workflows, and researching, writing, and preparing reports and correspondence.
The ideal candidate will have a post-secondary education in Business Administration, Public/Office Administration or equivalent, with a minimum of (3) years of experience in a similar role, preferably in a municipal environment. They will also have applied knowledge of customer service, office administration, and associated procedures, and they will have the ability to represent the Director and the organization in a positive and professional light both inside and outside of the organization.
Compensation includes an annual salary of $70,953 - $85,143 (2025 salary range) plus 4% vacation pay, based on 37.5 hours weekly. The successful candidate is also entitled to enroll in the Ontario Municipal Employee Retirement System (OMERS) pension plan.

Reports to: Director of Infrastructure Services
Position Objective
To support the Director of Infrastructure Services including interactions on behalf of the Director with internal and external stakeholders, financial analysis, workflow coordination, research/write/prepare reports and correspondence.
Duties & Responsibilities
- Coordinate the activities of the Director of Infrastructure Services, prepare and brief the Director for meetings by researching, drafting and coordinating required reports, responses and/or presentations; identify key players and issues;
- Maintain a filing system for the Director of Infrastructure Services;
- Respond to inquiries from internal staff and external stakeholders/public;
- Assist in the planning and organization of meetings for the Director, including preparation of agendas, and preparation and distribution of minutes;
- Prepare and organize information for MFFIPA requests; coordinate with staff to gather records;
- Create, design and prepare various office forms and templates;
- Monitor office supply inventory control/product review; operate/trouble shoot office machines;
- Create, monitor and respond to CRM’s (Customer Relationship Management, Internal work order system);
- Maintain current knowledge of Corporation services, policies and procedures; assist in the identification, development and implementation of process improvements in a team environment;
- Perform other administrative, clerical and departmental duties as assigned.
Education and Experience:
- Post-secondary education in Business Administration, Public/Office Administration or equivalent
- Minimum of (3) years of experience in a similar role, preferably in a municipal environment
- Valid Ontario driver’s license with a driving record acceptable to the Corporation
Knowledge:
- Local government or public sector organization and protocol
- Applied knowledge of customer service
- Applied, technical knowledge of office administration and associated procedures
- Applied, technical knowledge of math
- Applied, technical knowledge of office equipment and computers, including office software and applications
- Technical knowledge of business procedures/accepted accounting practices
Skills and abilities

- Excellent written and verbal communication and interpersonal skills to explain and exchange information, handle complaints and resolve standard issues with lawyers, developers, real estate agents, consultants, contractor, land owners, and applicants.
- Ability to prepare material such as letters and email correspondence.
- Ability to deal with multiple tasks and changing deadlines while maintaining a high-level of accuracy.
- Ability to prioritize workload and meet deadlines.
- Proficiency using a wide range of computer programs such as: MS Office (Word, Excel, Powerpoint, Foxit PDS Editor etc..).
- Organizational and analytical skills.
- Ability to actively listen, understand, and clearly communicate to provide customer service in a professional, pleasant manner in sometimes adverbial circumstances.
